At eleven at night in São Paulo, Sofia's mother asks the school website whether host families are police vetted. Harry answers in Portuguese, from the school's own homestay policy, and says which section. She leaves her details. That is the first line on Sofia's record, and nobody at the school was awake for it.

One question goes back, not the form

The administrator reads the application field by field and finds one thing: the passport expires before the course ends. That one comment goes back to the family, next to the field. The rest of the application stands. Four days later the renewed passport is on the record and the application moves on.

The offer, the agreement and the invoice, in one step

From the fee schedule and the application, Harbor writes the offer letter, the enrolment agreement and the invoice together. Sofia's mother opens the offer, accepts, and signs the agreement, each from a link with no login. When the fees arrive, the receipt is a PDF ready for the visa application. Every document the embassy wants exists by Friday.

Three vetted families could take Sofia. Harbor ranks them on diet, distance and language, with the reasons on screen. Hannah Reid, the homestay manager, chooses the Whitcombes: vegetarian, Spanish spoken at home, a short walk to school. They accept from their phone, and the placement goes on the record with its dates.

The Whitcombes read five short modules by link: what to expect, house rules, culture, pay, and what to do in an emergency. Sofia reads hers. Her agent enters the flights and the pickup. Nobody at the school attaches ten PDFs to an email; Harbor sends each person what they need and shows the one module the host family has not finished.

Pacific Study Group watched Sofia's whole year from their own login and never sent a chasing email. The week after her end-of-year report, two more applications arrive from them, flights already attached. Agents go back to the schools where the work is easy.
